Office Coordinator - Full Time position

Job Description
The Office Coordinator is responsible for the successful operation of the lab and management of its personnel.  The ideal candidate must be a detail oriented person with the ability to adjust to a variety of changes and challenges in a fast-paced, multi-process environment.  We expect a leader who will maintain open lines of communication with clients and employees; be responsible and accountable for clinic performance; and be an above average communicator, good listener, and be able to encourage and help employees implement the company's mission.  The candidate must be able to pass drug and background screen.
Minimum Qualification Requirements:
  • High school graduate with additional college courses in accounting, business or office procedures required.  Bachelor’s degree in a medical field is preferred.
  • Three or more years’ experience supervising five or more employees.
  • Ability to perform data entry, filing, completion of forms and all office functions and resulting up with a high degree of accuracy in written, paper and computer formats.  Previous experience preferred.
  • Proficiency with accounting, invoicing, inventory control & ordering, shipping, mailing and business practices are required within 3 months of hire.  Knowledge of QuickBooks accounting system is preferred.
  • Compliance with OSHA, HIPPA, Blood Born Pathogen are required, TB testing and MMR and Varicella titers are required if qualified as a Medical Assistant or Phlebotomist.
  • Will be required to become a certified drug & alcohol collector within 1 month of hire.
  • High level of proficiency in demonstrating customer service and problem solving by communicating through oral and written formats. 
  • Ability to perform Medical Assistant duties including vitals, and use or assist with medical and drug testing instruments is preferred.
  • Proficiently use Microsoft Office suite of products.  Comfort level with using and learning new software systems/programs.
Office activity Coordination:
               Works with the President to design, modify and operate daily activities to ensure successful coordination of the entire operation.
Ø  Responsible for Coordination of Work Processes Including Patient Flow:
o   Complete understanding of all work processes including clinical, drug & alcohol, DNA, etc. and each employee’s functions within the process.
o   Trains employees to perform the functions of their positions and on any changes made.
o   Daily, monitors work processes to determine areas of success or those that need improvement.  Works directly with other employees to reinforce or correct improvement in performance or execution within appropriate level of authority. 
  • File Management:
o   Responsible for all aspects of the paper and electronic filing system.  May delegate duties as desired, retains responsibility for outcome.
o   Responsible for setting up the management, filing, communication and resulting for new clients.
o   Maintains accurate client lists including contact information and services performed.
Ø  Resulting:
o   Responsible for the system and outcome of providing accurate and timely results to clients.  May delegate functions to other employees but retains overall responsibility.
o   Understands HIPPA & forensic requirements of providing results to clients, coordinates processes to insure compliance.  Maintains HIPPA compliance requirements for self and staff.
Ø  Billing/Accounting Activities:
o   Ensures that the filing and information for all services performed are easily accessible and made available for billing to reduce any potential for unrealized revenue.
o   May perform billing & Accounts Receivable functions as requested including invoicing, obtaining payments for invoices, collecting payments for past due invoices, generating reports, etc.
o   May maintain billing filing systems and perform monthly AP & AR records, and bank reconciliations.
  • Supplies, Inventory:
    • Responsible for maintaining adequate supplies for all aspects of the operations. 
o   Continually seeks out cost effective inventory & supplies that meet quality & delivery expectations.
  • Responsible for maintaining a neat and organized supply & inventory area. 
Additional Responsibilities:
  • Revenue Enhancement:
o   Obtains knowledge of industry practices, clients, work processes & capacity to actively seek opportunities to enhance the revenue of the company.
o   Finds opportunities and captures unrealized revenue potential of existing & new clients.
o   May assist or conduct marketing & sales activities to new or existing clients.
